1. What data do we process, for what purposes and on what legal basis?

a) This is one of the most important parts of this document. Here we explain what personal data we receive from you and from other people, and how we process those data.

b) We also identify the legal basis for our access to your data, so that it is clear how the law governs our relationship.

2. Do you have to provide us with your personal data?

a) Providing personal data is generally voluntary and is your decision.

b) However, we need certain data to meet your expectations regarding entering into a contract, using our services or contacting us.

If you make a booking, you must provide your details so that we can process the booking, provide the service and issue proof of payment.

If you ask us to contact you, you must provide your contact details so that we can email or call you.

Where providing your data is required by law, you provide those data in accordance with the applicable provisions.

3. What rights do you have under the GDPR?

a) You may email us at the address provided, or contact us by other means, at any time to obtain information about our processing of your data.

b) As a data controller, we must respond without undue delay and no later than one month. If we cannot do so, we will inform you whether we process your data. We may extend the deadline for handling your request by up to two additional months. We will endeavour to respond as quickly as possible.

c) The GDPR grants you the following rights in connection with the processing of personal data:

Right to information and transparency obligations – you have the right to know what happens to your personal data.

Right of access to personal data – if you request access to your data, we as the controller are obliged to provide the relevant information.

Right to rectification – you may ask us to correct data you consider inaccurate or to complete incomplete data.

Right to erasure (right to be forgotten) – you may ask us, as controller, to erase your personal data and inform persons to whom we disclosed them of the erasure. You may also ask that data we made public be erased by other controllers. At your request, we must also inform you of the recipients to whom we disclosed data subject to erasure.

Right to lodge a complaint – if you believe that our processing of your personal data infringes the law, you may lodge a complaint with the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych).

d) Please remember that not all of these rights apply in every situation. This follows from legal provisions, not from any unwillingness on our part.

e) Withdrawal of consent to data processing does not affect the lawfulness of processing carried out on the basis of your consent before its withdrawal.

Example:

You submit a review of our services and consent to its publication. Later you ask us to remove it. In that case we will remove your review. Its removal does not change the fact that it was lawfully published before your request and during the time necessary for us to remove it.

4. How long do we process your data?

a) In accordance with applicable law, we process your data only for as long as necessary to achieve the specified purpose. Afterwards, we permanently erase or destroy your personal data. The additional year of processing data collected for contract performance reflects the possibility that you may submit a request to exercise your rights just before the limitation period expires.

b) We process your data for different periods depending on the legal basis (purpose) of processing. The following table summarises these periods.

RETENTION PERIODLEGAL BASIS (PURPOSE) OF PROCESSING
3 or 6 years + 1 yearFor personal data processed to establish, exercise or defend claims, the choice between 3 and 6 years depends on whether both parties are businesses.

5. Do we profile your data?

a) We may profile your data, meaning that we may use automated processes to process them. We do not use your data for automated decision-making that could affect your legal situation or produce similarly significant effects for you.

This means that the automated tools we use cannot, for example, automatically decide not to enter into a contract with you based on your individual characteristics. If an automated tool could negatively affect our relationship, we apply human review: someone on our team checks whether the automation is working correctly in the particular case.

a) Tools operating on our website may profile user behaviour to improve the website and tailor displayed content. In this case we analyse anonymous data (location, age, interests), unless you consent to tools collecting other data (by agreeing to particular cookies).
